MANDATORY ITEMS FOR TRAVEL TO ARUBA

Arriving in Aruba

  • Valid Passport – A U.S. passport valid for the duration of your stay is required for entry into Aruba.
  • Embarkation/Disembarkation Card (ED-Card) – All non-resident travelers must complete the online ED-Card application within 7 days prior to travel. Once approved, you will receive the ED-Card by email — please bring a printed or digital copy with you. At immigration, both your ED-Card and passport are required for entry. Apply here.

Departing Aruba

  • You and your guest will clear U.S. Customs and Immigration before leaving the island. You will enter the U.S. Check-In Terminal no earlier than 3 hours prior to your scheduled flight time. Access will be manager according to a group color that will be assigned to you via text message from Aruba. 
  • To help expedite the process, we encourage downloading the Mobile Passport Control app (Available on IOS and Android).

 

TRANSPORTATION

Ground transportation is provided to/from Queen Beatrix International Airport (AUA) to Secrets Beach Aruba. 

Upon landing, please proceed to baggage claim and look for a greeter holding a sign with your name and the Toyota logo. 

Once you have collected your luggage, the greeter will connect you with a driver, and then you will be transferred to Secrets Baby Beach. If you have any issues locating your driver, please call or text Lauren Sinclair at 913-218-5741.

HOTEL INFORMATION & CONFIRMATION

A reservation has been made in your name at Secrets Baby Beach for the program event dates, unless otherwise requested. Please note that Toyota is paying for room and tax; the hotel will require a credit card to cover incidental charges.

Upon arrival at the hotel, please proceed to the Surf, Sand, Certify & Shell Hospitality desk located in the Lobby Lounge. Here you will pick up your Welcome Packet and name badge for the week. We ask that you wear your name badge at all organized group dinners. You will also receive a 1-on-1 overview of the program agenda, individually selected activities, group dinners and more. 

Hotel check-in time is 3:00 PM, however, we will do our best to ensure your room is ready upon arrival. Hotel check-out time is 11:00 AM. Should you need a late check-out, please let the team in the Hospitality Suite know and they can help to accommodate this request.

DINING

Secrets Baby Beach Aruba delivers a world-class culinary experience across seven unique restaurants, all included as part of the resort’s unlimited all-inclusive package. To see the list of offerings, please see the link here. 

While reservations are not required at Secrets Baby Beach’s all-inclusive restaurants, guests do have the option to reserve a teppanyaki table at Himitsu for a more interactive dining experience. Should you wish to secure a teppanyaki reservation, the Toyota Events Team is happy to assist.

Off-Road Tour - Tuesday Activity Choice

Set out on an off-road adventure through Aruba’s stunning landscapes, including lunch in the Arikok National Park. Discover dramatic coastlines and natural wonders, then unwind with paddleboarding or a refreshing swim in crystal-clear waters. A driver/guide is included to ensure a safe, informative, and memorable experience.

  • Recommended Attire: Comfortable clothes with swimsuit underneath

Experience the thrill of riding a Seabob—the ultimate eco-friendly water adventure. Glide across the surface at 14 mph or dive up to 130 feet deep at 10 mph, all powered by a clean electric system.

  • Hotel Departure Time: Will be communicated on your arrival in hospitality
  • Travel Time: 50 minutes each way
  • Tour Duration: 1.5 hours 
  • Recommended Attire: Comfortable clothes with swimsuit underneath, reef-safe sunscreen, and a water safe phone case.

WEATHER 

Aruba’s warm, tropical climate stays in the high 80s year-round, with balmy evenings in the mid 70s. In December, you can expect plenty of sunshine mixed with gentle trade winds that help keep the island comfortable. ATTIRE

  • Resort casual is recommended for the Welcome Reception and the Farewell Dinner, as well as all on-site dining locations. 

    • Men: Polo shirts, short-sleeve button-downs, pants

    • Women: Sundresses, lightweight sweaters, sandals/wedges

  • Please note that Aruba can be breezy, especially on the water, so it is recommended to bring a light jacket or sweater.
